Promotec S.r.l. as data controller as defined by art. 4 of EU Reg. 679/2016 informs you, pursuant to art. 13 of the above-mentioned Regulation, that your personal data will be processed in accordance with the provisions of the law and in the manner described in this policy.

2. Type of data processed
The data processed for access to and use of the online platform reserved for Autopromotec exhibitors are data of a common nature; these include all the data required to enter into the agreement for access to the online platform, which precedes entering into the contract for participation in the Autopromotec exhibition. For the purposes of using the platform, administrative data such as the name, company name, registered office, tax code, VAT number, administrative office, telephone numbers and mobile phone number for the transmission of the OTP (one time password) required for two-factor authentication, certified and standard e-mail address of the legal representative or a delegate of yours shall also be required.

3. Purposes of personal data processing
The personal data you provide are used:

  1. for access to the online platform made available to the Exhibitor by the undersigned Company and the use of services within it, including the compilation, acceptance and/or signing of all commercial and/or contractual documents for participation in the exhibitions organised by Promotec Srl;
  2. for the transmission of communications, notifications and information relating to the organisational management of trade fair events organised by Promotec Srl;
  3. to enable exhibitors to take advantage of additional services provided by Promotec.

4. Legal basis
The legal basis of the processing for the purposes described in the previous point lies in the fulfilment of contractual and legal obligations for the purposes of the legal nature of processing.

5. Processing methods
Personal data are processed using appropriate printed, electronic and/or telematic methods strictly in accordance with the aforementioned purposes and in any case in such a way as to ensure the security and confidentiality of the data.

6. Transfer of data
Within the Company, the data provided may be transferred to shareholders, members of the board of directors or other administrative body, members of the board of statutory auditors, company personnel and, in any case, to the internal and/or external Data Processors and persons in charge of the processing of personal data designated by the Company in the performance of their duties.
The only data necessary for the organisation of the event in question will be transferred to companies belonging to the BolognaFiere Group for purposes useful for the holding of the Exhibition.
Your personal data may be transferred to any qualified persons who provide instrumental or additional services to the Company for the purposes mentioned in paragraph 1 above, such as, but not limited to, parent companies, subsidiaries, investees and/or affiliates; publishing companies such as Edit Prom S.r.l.; parties, entities and/or companies that manage and/or participate in the management and/or maintenance of websites and electronic tools. Suppliers, contractors, sub-contractors or other qualified subjects that provide the Company with services necessary for the establishment and/or performance of any contractual relationship with the Company (such as, for example, banks and/or subjects in charge of making collections and payments, insurance companies and bodies); consultants that assist the Company in various ways with particular reference to legal, tax, social security, accounting, organisational and commercial aspects; auditing companies; any other subject to which the data must be communicated on the basis of an express provision of law.

7. Disclosure of data
Your data will never be disclosed except in the cases indicated in the preceding point of this policy.

8. Automated decision-making processes (e.g. profiling)
No automated decision-making processes are in any way managed.

9. Data subject's rights
You have all the rights set out in European Regulation, such as the right to request access to your personal data, to obtain their correction or cancellation, the right to limit or to oppose to their processing, in addition to the right to data portability. You are also entitled to lodge a complaint with the Supervisory Authority.

10. Transfers to third countries
Transfer of personal data to a third country outside the European Union will take place provided that the European Commission has deemed it as adequate and approved it or, in the case of transfers referred to in Articles 46, 47 or 49, second paragraph, of the aforementioned European Regulation, on the basis of appropriate and suitable safeguards.

11. Data retention period
The Data Controller will keep your personal data in a form that allows them to be identified for a period of time not exceeding the purposes for which the data were collected; they will therefore be kept until the existence of the existing contractual relationship and no longer than 10 years from the termination of the contract, while personal data strictly necessary for tax and accounting obligations, once the purpose for which they were collected no longer exists, will be kept for a period of 10 years as stipulated in Article 2220 of the Italian Civil Code.
